The Greater New Orleans Foundation Program Associate is collaborative, proactive, detail-oriented, motivated, and provides excellent internal and external customer service. The Program Associate provides administrative support for the Program Department and is responsible for project support across initiatives and portfolios. The Program Associate is a full-time position reporting to the Director of Grantmaking.
Principal Duties
Grantmaking and Program Administration
- Develop materials including memos, decks, tracking documents within Excel, and packets for grant processing.
- Maintain and update records for grantmaking meetings including minutes and contact information.
- Manage grantmaking calendar including scheduling meetings and site visits.
- Manage meeting logistics for grantmaking meetings including catering, AV and technology, and room set-up and breakdown.
- Edit grant write-ups and prepare grant agreements.
- Maintain the filing system for all records, materials, and correspondence related to grantmaking.
- Manage information updates to the Greater New Orleans Foundation’s Management Systems including Foundant working collaboratively with other members of the Foundation staff to ensure information inputs to the system(s) are consistent and in line with strategic objectives.
- Prepare and route contracts, invoices, grant agreements, fund agreements, and other essential documents for signature and approval.
Special Initiatives and Fiscal Sponsorships
- Provide administrative support to the Foundation’s special initiatives, fiscal sponsorships, and Foundation events including developing content and materials, calendaring, and logistics including catering, AV and technology, and room set-up and breakdown.
- Provide project management including coordinating meetings, developing materials, note taking, and ensuring follow-up on key tasks.
- Serve as liaison with vendors, partners, and grantees.
- Prepare and route contracts, invoices, fund agreements, and memorandums of agreements and other essential documents for signature and approval. Maintain files and records.
Cross-Program and Cross-Departmental Collaboration
- Support additional programmatic efforts as funding dictates including administrative support, project management, conducting research, and supporting grantmaking.
- Seek opportunities for creating synergies and collaborations between programmatic areas, avoiding the isolation of working in a silo.
- Provide occasional support for special Foundation projects.
- Provide front desk coverage as needed. Remain flexible about work assignments.
Because of the fluid and evolving nature of work at the Foundation, the Program Associate may, from time to time, be asked to work outside normal business hours or take on other assignments not covered in this position description. The Program Associate is expected to demonstrate openness and flexibility when asked to take on these new assignments. Every team member employed by the Foundation is expected to demonstrate:

Required Qualifications
- Excellent oral and written communication skills, including the ability to simplify and effectively communicate complex topics.
- Enthusiastic about assuming critical support for the Programs Department.
- Expertise in providing excellent customer service to internal and external stakeholders.
- Ability to work with diverse stakeholders, including vendors, nonprofit leaders, board and committee members, and Foundation partners.
- Demonstrated ability to manage-up and effectively use time and resources to complete tasks efficiently and effectively.
- Excellent computer skills, including proficiency with Asana, Zoom, and MS Office, and the ability to learn and utilize new technology quickly.
- Experience with documenting minutes, preparing contracts and other documents, and database management, including data entry and reporting.
- A preference for a quick pace of work.
- Highly detailed-oriented professional approach to task completion.
- Ability to make clear and timely decisions within areas of responsibility.
- Ability to seek support and direction. Receptiveness to feedback and course correction and willingness to learn.
Experience & Education
- Bachelor’s degree (or equivalent experience).
- 3-5 years of experience with meeting logistics, executive support, and project management.
- Demonstrated experience working in a professional, fast-paced office setting, preferably in philanthropy or the nonprofit sector.
- Experience cultivating external relationships with diverse stakeholders.
- Familiarity with effective, leading practices in project management.
Compensation & Benefits
Salary commensurate with experience; salary range starts at $50,000. This position is exempt, and the employee will be eligible for the Foundation’s competitive health and benefits plan.
